Privacy Notice for Parents and Students
Your school uses Plus Up to organise everyday school life: timetables, attendance, grades, homework, behaviour records and messages between the school and families. This notice explains, in plain language, what that means for your child's information. Your school remains in charge of that information; Plus Up ([LEGAL ENTITY NAME]) runs the platform on the school's behalf.
What information is in the platform
- Who your child is: name, student number, class, date of birth, gender, nationality, religion, the learner category the school uses (for example special educational needs), and a photo if one is added.
- Health: whether your child has a medical condition, and if so the condition and what staff must do, as the school records it.
- School life: timetable, courses, attendance and lateness, hall passes, marks and term grades, homework and submitted work, lesson materials shared with the class, and Pluses (reward points).
- Wellbeing and behaviour: behaviour incidents and positive reports recorded by staff in line with the Ministry of Education behaviour code, notes from the school office, and meetings about your child.
- Family contacts: the names, phone numbers, email addresses and country of parents or guardians, which children they are linked to, and requests to be linked. Parents' religion is not collected.
- Messages: messages exchanged through the platform between staff and families, announcements, and, if the school turns it on, messages between classmates or between families of the same class.
The school decides what to enter. Plus Up never collects information directly from children for its own purposes, and shows no advertising.
Who can see it
- Your child's private details (date of birth, nationality, religion, category, health, office notes and your contact details) are seen by the principal, vice principal, dean and school office, by the teachers who teach your child, and by their heads of department. Other teachers cannot open them, and every opening is recorded.
- Teachers see the marks of their own courses; heads of department and the school's leaders can see all marks.
- A parent or guardian sees only their own children. When you ask to be linked to a child, your child accepts the request first and then the school office confirms it (a school can switch the office's confirmation off). The office can also remove a parent's link, for example after a court order or a mistake.
- A student sees only their own timetable, grades, homework and materials.
- Messages are seen by the people in the conversation. Messages between classmates, and between families of the same class, are off unless the school switches them on. When they are on, other parents of the class see your name as "Parent of" your child's name and can write to you, and the homeroom teacher, the dean and the school's leaders can read these conversations. Conversations between staff and a student can be reviewed by the dean and the school's leaders to keep children safe.
- Plus Up staff do not browse school data. They access it only to fix a problem the school reports or to carry out the school's written request, under confidentiality, and every such access is logged.
Where it is kept and how it is protected
Information is stored in Microsoft Azure data centres inside the United Arab Emirates: in Dubai (UAE North), with backup copies in Abu Dhabi (UAE Central). It never leaves the UAE. It is encrypted while travelling over the internet and while stored. Your child's religion, health notes, office notes, behaviour details, messages and your contact details are protected with an extra layer of encryption. Every file uploaded is checked for viruses. Each school's data is kept separate from every other school's.
How long it is kept
Information stays in the platform while the school subscribes. When your child leaves the school, the school records it: your child's sign-in stops and they leave class lists, but the school record is kept, because UAE regulators require schools to keep student records for several years after a student leaves. If you ask the school to delete your child's record and the law allows it, the school asks Plus Up, and we delete it within 30 days. When a school's subscription or free trial ends, it has 90 days to download its data or to ask us for a full copy. If it does not renew, its data is deleted automatically at the end of those 90 days, and the last backup copies are gone within a further 35 days.
Your rights
You can ask the school:
- to see the information held about you or your child: the school can download your child's record as a file and give it to you;
- to correct it, if something is wrong: the school corrects it in the platform;
- for a copy to take elsewhere, for example to a new school: the same file;
- to delete it, in some cases: the school decides, as the law allows, and Plus Up carries it out.
Please ask your school first: it controls the information and will involve us if needed. You can also write to us at privacy@plusup.net. If you are not satisfied, you may complain to the UAE Data Office.
Questions
